1. Who We Are

Immigration Workspace is operated by Zenvy Tech OÜ, registered in Estonia, EU. We are the data controller for personal data processed through this platform.

2. Data We Collect

We collect the following categories of data:

  • Account data: Name, email address, organisation name, and billing information.
  • Case data: Applicant names, visa route details, uploaded documents, and generated content that you create using the platform.
  • Usage data: Pages visited, features used, API requests made, and error logs for platform improvement.
  • Payment data: Processed by Stripe. We do not store card details on our servers.

3. How We Use Your Data

We use your data to: provide and improve the service, process payments, send transactional emails (password resets, invoice receipts), provide customer support, and comply with legal obligations.

We do not use your data to train AI models. We do not sell your data to third parties.

4. Legal Basis (UK & EU GDPR)

We process your data on the following legal bases: contract performance (providing the service you've signed up for), legitimate interests (service security, fraud prevention, platform improvement), and consent where explicitly given.

5. Data Retention

We retain account data for as long as your account is active. Case data is retained until you delete it or close your account. We delete personal data within 30 days of an account closure request.

6. Your Rights

Under UK/EU GDPR you have the right to: access your data, correct inaccurate data, request deletion (right to erasure), data portability, and to object to processing. Submit requests to support@immigrationworkspace.com.

7. Third Parties

We share data with: Stripe (payment processing), Anthropic (AI generation — prompts and content only, not personal data), and our hosting provider. All third parties are bound by appropriate data processing agreements.

8. Security

All data is encrypted in transit (TLS) and at rest. We use access controls, audit logging, and regular security reviews. No system is 100% secure — please use a strong password and enable 2FA on your account.

9. Cookies

We use only essential cookies for authentication (session token). We do not use tracking or advertising cookies.

10. Changes to This Policy

We may update this policy. We will notify you by email for material changes. Continued use of the platform after changes constitutes acceptance.
